Patient FAQs – Anima Document Management Tool

1. What is Anima?

Anima is a secure digital platform we use to manage and store documents relating to your care, such as hospital letters, test results, and any documents or photos you provide to us.

2. How does the practice use Anima?

We use Anima to:

  • Safely store documents we receive about your care (e.g., hospital discharge summaries)
  • Assign those documents to the appropriate clinician
  • Record actions taken (e.g., medication changes or referrals)
  • Add relevant information to your electronic patient record (SystmOne)

3. Can I send documents or photos to the practice using Anima?

Currently, we do not accept direct submissions via Anima. If you need to share a document (e.g., hospital letter, photo of a symptom):

  • Please email it to the practice using our secure NHS email, contact.lister@nhs.net
  • Or hand in a paper copy at reception

Your document will then be uploaded to Anima by our admin team and reviewed by the appropriate clinician.

4. Is my information safe in Anima?

Yes. Anima meets all NHS security and data protection standards. Your information is encrypted and only accessible to authorised staff.

5. Will I receive notifications or messages from Anima?

No. You won’t receive any messages from Anima directly. If your GP or clinician needs to contact you after reviewing a document, they will do so through the usual channels—phone, SMS, letter or via NHS App.

6. What happens to the documents I provide?

All documents you submit are:

  • Uploaded into Anima by our admin team
  • Reviewed by the appropriate clinician (e.g., GP or nurse)
  • Saved into your electronic health record in SystmOne

7. Do I need to do anything after I give you a document?

No further action is needed unless we contact you. If your document needs a clinical review or action, you will be contacted by the practice.

8. Can I request to see my documents?

Yes. You can request a copy of documents held in your medical record. Please speak to reception or submit a Subject Access Request in writing.
